What QuoteWin processes

QuoteWin processes account details, studio profile data, pricing catalogue data, client and project information entered by a workspace, proposal activity, billing records, and limited technical information needed for security and service operation.

Client proposal data

Interior studios control the customer and project information they add to QuoteWin. Proposal recipients can view a secure tokenised proposal without creating an account. QuoteWin records proposal opens and response events so the studio can manage its commercial workflow.

AI assistance

When AI parsing is enabled, enquiry text may be sent to the configured AI provider only to extract project facts and scope. QuoteWin’s pricing logic does not ask AI to invent rates. Workspace owners should avoid entering information that is not needed for the proposal workflow.

Service providers

QuoteWin may use contracted infrastructure, email, storage, payment, analytics/security and AI providers to operate the service. Production deployments should configure only the providers listed in the workspace’s infrastructure documentation and execute appropriate data-processing terms.

Retention and deletion

Workspace information is retained while an account is active and as required for legitimate operational, security, tax or legal purposes. Account owners can initiate deletion from Settings. Shared workspace data is not deleted merely because one member leaves.

Security

QuoteWin uses tenant-scoped authorization, opaque hashed sessions, password hashing, secure cookies, audit records, rate limiting and restricted proposal tokens. No internet service can guarantee absolute security.
